GoHighLevel Sub Account Transfer - Guide

Introduction

GoHighLevel offers a lot of really useful features when it comes to their platform. One of those features is called sub-account transfer. This is a process of transferring one sub account from one agency account on GoHighLevel to another. This is useful in cases where you want to move some of your sub-accounts to other GoHighLevel agency accounts to be able to transfer the data and all of the information from that sub-account into a new agency account on GoHighLevel. Previously this was a very lengthy process involving messaging and even in some cases calling support on GoHighLevel to do this for you. Now we have an option to do this manually through our GoHighLevel dashboard which is a huge feature that I will cover in today's blog post. 

How Does it Work?

The process of transferring one sub-account from one agency account to another is pretty simple. It involves having a sending agency account and receiving agency account. This isn’t anything complicated. Sending agency account is the account that we will use to send our sub-account from while on the other hand receiving agency account is the account where we will receive and accept transfer of the sub-account. It might sound a bit complicated but it’s fairly easy to transfer sub-accounts on GoHighLevel since the feature is very straight to the point.

Transfering Sub-Account to Another Agency

As we said, the first thing we need to do is to start the transferring process of a sub account through our sending agency account which in simple terms is just a normal GoHighLevel account where you will be sending your sub-account from. 

Step-1: Once you log in into your GoHighLevel account, you will most likely be within your agency account. 

Step 2: Next thing you need to click on “Sub Accounts” section on the left side. From there pick the sub account you want to transfer and click on the three dots in the right corner below on that specific sub account.

Step 3: Click on the manage client. From there you will be redirected to the sub account back end dashboard.

Step 4: Now all you need to do is to click on the big blue button called “Actions” in the right upper corner and click on transfer sub-account.

Step 5: You will need to accept the transfer of the sub-account and this is where you will be asked to put in a receiving agency’s relationship number which is a very important step. After that is done just enter CONFIRM into the verification box and that’s it.

To find your agency's Relationship Number:

Go to "Agency view" (located in the sub-account switcher dropdown in the top left corner of the side navigation bar) > "Settings" > "Company" > In the Company Data section you will see the Relationship Number as shown below.

You can always track your sub-account transfer requests so keep in mind that if you want to do that all you need is to go to Agency Level > Sub-Accounts. From there just select the Sub-account Transfers option. Navigate to the Send tab and you will be able to see all the transfers that you initiated per sub-accounts and which transfers are in progress.

Receiving a Sub-Account from Another Agency

Now that we have sent a sub-account from our sending agency towards our receiving agency, the next step is to confirm our sub-account transfer on our receiving agency. This is an important process that acts like a bridge between the transfers so that the sub-account lands where it needs to land. Both parties should get an email alert of the transfer. Receiving agency should get an email to review the transfer.

Once a receiving agency gets that email, all you have to do is to go accept it via the email from your receiving agency. Keep in mind that you can also accept the transfer through your agency dashboard on GoHighLevel, to do that, follow the steps below:

Step 1: Simply go to Agency Level > Sub-Accounts and select the Sub-account Transfers option. From there you will be able to see all the transfer requests along with the in progress transfer from your sending agency.

Step 2: All you have to do from there is to click “Approve” in order to accept the transfer and complete the final step of the sub-account journey.

From my own experience and learning through GoHighLevel’s resources, let me break down exactly what happens when you move a sub-account from one agency to another.

What Gets Transferred?

When you initiate a sub-account transfer in GoHighLevel, it’s important to understand that the transfer is comprehensive. This means that all the data associated with that sub-account is moved to the new agency. Here’s a more detailed look at what this includes:

1. Client Data

All the client information stored in the sub-account, including contact details, client history, and interaction logs, gets transferred. This is crucial because it ensures that the receiving agency has all the necessary information to continue managing the client’s needs without interruption.

2. Campaign Information

Any campaigns that were set up and running or even those that were paused get transferred as well. This includes all types of campaigns like email campaigns, SMS, or social media campaigns along with their historical data, settings, and configurations.

3. Automation and Workflows

All the automation setups and workflows that were created in the sub-account are also transferred. This is particularly important for maintaining continuity in client engagement and marketing strategies without having to rebuild these elements from scratch.

4. Reports and Analytics

The historical reports and analytics that provide insights into the campaign performances, client engagement levels, and other critical data are transferred. This ensures that the new agency has access to all past analytics to make informed decisions moving forward.

What Does Not Transfer?

It’s also good to note what doesn’t transfer during this process:

Partial Data: You cannot choose to transfer only parts of the data; the transfer process includes the entire sub-account.

Merging Data: If the receiving agency already has a sub-account for the same client, the data from the transferred sub-account cannot be merged with the existing one. Each sub-account remains distinct.

When to Transfer a Sub-Account?

1. Change in Service Providers

One of the most common reasons to transfer a sub-account is when a business decides to switch to a new marketing agency. This could be because they're looking for different services, a change in strategy, or they might need a specialist that the current agency can't provide. For instance, a company might spin off a part of its operations into a new entity, or it might acquire another company and need to consolidate their marketing under a new or different agency.
