Now, it’s totally understandable that you want to bring your business to the top, like what business wouldn’t want to do that, right? Well, it might be time to change some things. So, at the beginning, spreadsheets feel like the answer to everything. Like, need to track customers? Spreadsheet. Sales numbers? Spreadsheet. Tasks, invoices, ideas, random notes that feel important at the time? Yep, spreadsheet. Okay, you get the idea, so there’s no need to go further into examples. 

But anyways, sure, spreadsheets work for a while, and yeah, it feels simple, flexible, and kind of comforting. Like, everything’s right there, neat enough, familiar enough. But of course, there’s a point where that setup quietly starts working against the business instead of helping it. Are you experiencing this already?

Spreadsheets Feel Fine When Everything’s Still Small

But emphasis on “small” here. Anyways, early on, spreadsheets feel manageable because there’s just not that much to manage yet. Like a handful of clients, a few orders, maybe one person handling most of the admin. Well, that and files are pretty easy to find. And yeah, sure, numbers mostly line up. And okay, it genuinely feels under control.

But with all of that said here, that feeling doesn’t last forever. Once more people get involved or more information starts coming in, cracks start showing. Okay, but how? Like, what’s actually the problem here? Well, think about it for a second, you can basically count on tabs multiplying. Well, not just that, but files get duplicated. Plus, sessions get saved with names like “final,” “final_v2,” and “final_final_really.” Okay, maybe not exactly like that, but you get the idea here. 

Growth Turns “Flexible” into “Messy”

Which is honestly to be expected here, but anyway, it’s going to happen pretty fast, that’s the thing. Now, it might sound a little crazy, but growth doesn’t always announce itself in a big, dramatic way. You know how it seems massive like overnight, or life-changing or whatever? Sure it can happen, but that’s far more rare than you might actually expect here. Sometimes it just shows up as more emails, more orders, more questions, and more small decisions that need answers right now. Not fun, but this is realistic. 

So, the problem with growth here is that information lives in different files. Likewise, updates rely on someone remembering to change things manually. A number gets missed here, a row doesn’t update there. You see the issue? Yes, even in the age of AI, this is still super common!

Everyone has a Different Version of What’s “Correct”

But only major corporations with large teams and large amounts of data deal with this, though, right? Well, no, because once more than one person is touching the same information, things get awkward pretty quickly. Someone updates a file. Someone else opens an older version. Now there are two sets of numbers floating around, both supposedly correct. 

Sure, two people are bad, but imagine more and more people, nightmare fuel, right? So it might be best to look into data management in a much better way than looking into the spreadsheets and their editing history (if it even has one) to try and figure out what the truth is and what mistake happened in the first place. 

Spreadsheets aren’t Built For How Businesses Actually Run

Well, they used to be, as you remember years ago, you basically had to have Excel as a skill on your resume, but the times have changed now. Yes, you still need spreadsheets, but the need and demand have changed. Like, spreadsheets are great for organizing information, yeah, sure. But they’re not built to run day-to-day operations. They don’t connect systems automatically. They don’t stop duplication. They don’t scale gracefully as things get more complex.
